For the Treasurer

Month-end in minutes, not a weekend.

Every member's flying, dues and share of the fixed costs become an invoice they pay online. Payments post themselves, reminders go out on their own, and the books square against the bank, so your treasurer reviews instead of chasing.

  • Invoices from Hobbs or tach time plus dues, fixed costs and shared expenses, emailed automatically
  • Card or bank transfer through Stripe into the club's account, or Venmo, PayPal or Zelle
  • Self-reconciling ledger and automatic overdue reminders
  • Bank sync: the club's account imports and matches transactions
  • Sales tax report by taxing authority
  • Costs and cash flow per airplane, planned against actual
  • Hide balances from members if your club prefers; the treasurer still sees everything

Scheduling

Scheduling that follows your bylaws.

Put your club's booking rules in once and 5-by-5 enforces them for everyone, in the app and on the web. Members see what's free at a glance, the board sees who has what, and when an airplane goes in for maintenance, everyone booked that week is told.

  • Rules from your bylaws: bookings per member, weekend limits, normal and extended length, yearly caps, clear days between long trips
  • Members warned as they book; owners and admins can override
  • A detailed calendar on the web that labels every booking with pilot and times
  • Maintenance windows on the calendar, with affected bookings put on standby and an all-clear email sent when the airplane is back in service
  • Google Calendar and Outlook sync

Fleet Maintenance

Every airplane's maintenance, for everyone who needs it.

Your maintenance officer sees what's due across the fleet, your A&P updates records directly, and every member knows the moment an airplane is grounded, without anyone sending a group text.

  • Annuals, 100-hour, oil changes, ADs and anything recurring, per airplane
  • AD auto-import from the FAA, life-limited components and oil analysis trends
  • Squawks with photos emailed to the whole club, and a notice when they're fixed
  • A grounding squawk shows in red on every member's home screen
  • Maintenance Officer title and an A&P role that sees maintenance only

Aircraft & Engine Logbooks

The logbooks, out of the binder and into every member's pocket.

Scan each airplane's airframe, engine and propeller logbooks once, and any member can look things up from anywhere, instead of waiting on whoever has the binders.

  • Handwriting and mechanic shorthand read into searchable text, each page beside its photo
  • Anything misread can be corrected by hand
  • Your A&P can read the logbooks, and only the logbooks
  • The free trial includes 20 scanned pages

Ask AI

Ask anything. Get answers from your own records.

The AI Assistant reads everything your club keeps in 5-by-5 (the scanned logbooks, maintenance, oil analysis, squawks, flights and the books) and answers in plain English, pointing back to the logbook page it used. Nothing comes from the internet, and nobody outside the club sees it.

  • One question can draw on logbooks, maintenance, oil analysis, flights and costs at once
  • Bookmark your airplane's POH from the 130+ manual library and ask procedure questions
  • Book, move or cancel a reservation by just asking, with a preview before anything changes
  • Ask by voice or text, on the phone or the web
  • Members only ever see their own money; owners, admins and the treasurer see everyone's

Better Together

It adds up when it's all in one place.

Because the logbooks, maintenance, flights and money live side by side, you can ask questions no single-purpose app can answer.

"Give me a summary of the state of the engine on N58RF."

Engine logbookOil analysisSquawksADsMaintenance

Per airplane: the overhaul entry, oil trends since, recent fixes and what's coming due, tied back to the logbook pages.

"Which of our airplanes has the most maintenance coming due in the next 60 days?"

MaintenanceADsFleet

What's due across the fleet, so the maintenance officer can plan downtime before it plans itself.

"Who has an unpaid invoice from last month?"

InvoicesLedger

For the treasurer and admins: outstanding balances in one answer. Members only ever see their own.

"Am I current to carry passengers at night?"

FlightsCurrency

Every member's own currency, worked out from the landings they've logged.

Members

Twenty members, one way of doing things.

Decide how 5-by-5 looks for your club, keep everyone informed, and know every notice actually reached them.

  • Owner, Admin, Member and Mechanic roles, plus Treasurer and Maintenance Officer titles
  • Member Experience: the start screen, which booking and flight-log fields to show, whether finances are visible
  • Message members by email, with formatting and pictures, and every notice copied to their in-app bell
  • See when a member's email is bouncing
  • Require two-factor sign-in for the whole club
  • Pilot currency on every member's home screen: landings, instrument, medical, flight review

Web Dashboard

The whole picture, on a big screen.

The board gets the web dashboard: the club's money, every airplane's maintenance and the flying, laid out in full for the treasurer's report and the board meeting.

  • Finances: cash flow, expenses by category and by flight, planned against actual, billing history
  • Maintenance: what's due, component and engine hours, oil analysis trends, AD compliance
  • Flights: the calendar, FlightAware tracks, and each member's hours over time
  • Settings, billing and members, with every dataset exportable as CSV

Switching Over

Bring the history with you.

Most clubs don't start from scratch, and you don't have to. Your flight history, your ledger and your logbooks come with you, and the members just download the app.

Flight history

From a spreadsheet, or ForeFlight and Garmin Pilot logbook exports.

The ledger

Past charges and payments from a CSV, so balances carry over.

The aircraft & engine logbooks

Scanned from a phone, page by page, into searchable text.

Common questions

How does billing work for a whole club?

Each member gets a monthly invoice built from their own flight time (Hobbs or tach), their dues and share of fixed costs, and any shared expenses, emailed automatically. Members pay by card or bank transfer through Stripe, straight into the club's account, or by Venmo, PayPal or Zelle. Payments reconcile in the ledger on their own, and overdue invoices get an automatic reminder.

Can 5-by-5 enforce our scheduling rules?

Yes. Set the rules from your bylaws (how many bookings a member can hold, how many on weekends, the longest normal and extended booking, yearly caps, and clear days between long trips) and members are warned as they book and can't save one that breaks a rule. Owners and admins can override.

Our members are used to a labeled calendar. Can we keep that?

Yes. On the web, the detailed calendar labels every booking with its pilot and times and every maintenance window with the work being done, the way many clubs' scheduling tools do. Members can pick their own view, and the phone apps use a compact calendar built for a small screen.

What roles can members have?

Owner, Admin, Member and Mechanic (A&P), plus titles like Treasurer and Maintenance Officer. Admins decide what members see (start screen, booking and flight-log fields, whether finances are visible) and can require two-factor sign-in for the whole club.

What about a club with several airplanes?

Every airplane has its own rate, maintenance, squawks and costs, and you pay $4.99 per pilot per month on the annual plan, capped at $25 per airplane per month. There's no charge per airplane; adding one only raises the cap. A 20-member club with 2 airplanes pays $50 a month, not $99.80.

How do we move over?

Past flights import from a spreadsheet or from ForeFlight or Garmin Pilot logbook exports, past charges and payments import into the ledger from a CSV, and paper logbooks can be scanned from a phone. We're happy to walk your board or treasurer through it on a screen share.
